Safety Portal Compliance Specialist (SDQ)
Position Summary:
The Safety Portal Compliance Specialist is responsible for managing and maintaining contractor and vendor compliance within designated safety and prequalification portals. This role serves as the primary liaison between internal stakeholders, external contractors, and third-party compliance platforms to ensure all safety, insurance, and regulatory documentation meets company and client requirements. The specialist supports risk reduction, regulatory compliance, and operational readiness by ensuring accurate, timely, and complete portal submissions.
Responsibilities:
- Portal Administration: Administer and monitor safety compliance portals, including ISNetworld, Avetta, Veriforce, PEC, and similar platforms.
- Documentation: Review, upload, track, and maintain contractor safety documentation, including safety programs, training records, OSHA logs, EMR/MOD rates, and insurance certificates.
- Compliance Standards: Ensure documentation meets platform, client, and company requirements.
- Contractor Support: Serve as the primary point of contact for contractors regarding portal compliance questions, deficiencies, and navigation.
- Communication: Communicate requirements, deadlines, and corrective actions to internal and external stakeholders.
- Tracking: Track compliance status and follow up on non-compliant or expired items.
- Auditing: Conduct routine audits of portal submissions for accuracy and completeness.
- Quality Control: Identify trends, gaps, or recurring compliance issues and recommend corrective actions.
- Reporting: Generate compliance reports and track KPIs related to contractor compliance and portal performance.
- Audit Support: Support internal and client audits by providing necessary documentation and data.
- Internal Collaboration: Collaborate with Safety, Risk, Procurement, Legal, and Operations teams.
- Onboarding: Support contractor onboarding and new project requirements.
- Continuous Improvement: Stay current on platform updates and regulatory changes while recommending process improvements to increase efficiency.
Required Skills/Abilities:
- Advanced English proficiency
- Attention to Detail: Strong attention to detail and document management skills.
- Communication: Excellent written and verbal communication skills.
- Time Management: Ability to manage multiple priorities and deadlines.
- Software Proficiency: Proficiency with Microsoft Office and web-based systems.
- Regulatory Knowledge: Basic knowledge of safety documentation and insurance requirements.
- Safety Standards: Knowledge of OSHA regulations and industry safety standards is preferred.
Education and Experience:
- Education: A high school diploma or equivalent is required.
- Preferred Education: An associate’s or bachelor’s degree is preferred.
- Experience: Minimum of 2 years of experience in safety compliance or contractor management.
- Portal Experience: Experience with safety compliance portals is strongly preferred.
- Industry Background: Experience in construction, manufacturing, energy, utility, or industrial environments is preferred.
- Audit Background: Experience supporting audits or inspections is preferred
